How to add an email account to Outlook 2010/2013 and later

  1. Open Outlook and click on File on the top left of the menu bar and select Info, then Account Settings and again Account Settings
  2. In the window that opens ensure that the Email is selected and then just below the tab click New...
  3. On the next screen leave the default Email Account selected and click Next.
  4. In the next screen select the very last option to Manually configure server settings or additional server types.
  5. In the next screen once again leave the default selected as Internet Email and click next.
  6. Then you have a window that can be divided in three main areas as seen in the image




  1. Your Name: Type in your name. This is the name that will display at the top of any email that you print out.
  2. Email Address: Type in your full email address, e.g. [email protected]
  3. Incoming mail server (POP3): This is what I give you -
  4. Outgoing mail server (SMTP): This is normally the same -, but can also be (if you have another account, open it and check what you have and use the same). If you use then when you have completed this screen you must go to step 7.
  5. User Name: this must be the full email address as in step 2.
  6. Password: This is the one given to you by the person setting up the actual email address on the server.
  7. If you used in your Outgoing mail server box then click on More Setting.

How to

  1. The Mail Account name is whatever you would like to call it. This is the name that shows up in your list of email accounts.
  2. Organization would normally be the name of your company. If private you can leave blank
  3. Reply E-mail is the one you would like people to use when they click the Reply button on an email. Only necessary if it is different to the email address used in step 2
  4. Then click on the Outgoing Server tab.


How to

  1. If you used (or something else although not recommended) then nothing needs to be checked on this screen and you can click OK.
  2. If you used then you need to ensure that your screen looks like this. This is how you should setup you emails though for best security solutions.
  3. Then click on the Advanced tab and change the settings to look like the image below (if you are using IMAP then the Incoming server port will be diff but still use SSL):
